EventNation ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit eventnation.com and use our hotel contract review service.
Information We Collect
We collect information in the following ways:
Personal Data
When you register for an account, submit a contact form, or request a quote, we may collect personally identifiable information such as your name, email address, phone number, and company information.
Contract Documents
Before the document is sent for AI clause analysis to identify risk, we make our best effort to remove personally identifiable information ("PII") contained in the document. This PII is redacted within an isolated processing environment. The AI analysis is then performed on the redacted version.
Usage Data
We automatically collect certain information when you visit our website, including your IP address, browser type, operating system, access times, and the pages you have viewed.
Planner Network Verification Data
If you request access to the Planner Network, we collect the LinkedIn profile URL you submit so we can verify that you are a working event professional. We use this solely to review and approve your access and to determine your access level. We do not post to your LinkedIn account or share this with other members.
How We Use Your Information
We use the information we collect to:
- Provide, operate, and maintain our service
- Send you our own newsletter and service-related communications
- Respond to your comments, questions, and requests
- Improve our service and user experience
- Monitor and analyze usage patterns and trends
Information Sharing
We do not sell your personal information. We do not share your personal information with vendors, advertising networks, or other third parties for their own independent use or marketing.
We do use service providers who process data on our behalf, under contract and solely to deliver our service. This includes:
- Cloud hosting (Microsoft Azure), where contract documents are processed in an isolated environment.
- AI clause analysis (OpenAI), which receives a redacted version of the contract with personally identifiable information removed.
- Payment processing (Stripe), which uses and stores data only as it pertains to payments.
Microsoft Azure is bound by contract to use the data it receives only to provide services to us, not for their own purposes. OpenAI has the right to retain whatever data is uploaded to it for 30 days after upload.
Cookies and Tracking
We use cookies and similar technologies on our website for two purposes.
Essential and first-party cookies. These let us operate the website, keep you signed in, and manage subscriptions to our own newsletter. This information is used only by us.
Third-party advertising and analytics technologies. Our website includes the LinkedIn Insight Tag and Google tags, deployed through Google Tag Manager. These set cookies and collect information such as your IP address, browser and device information, and online identifiers. LinkedIn and Google use this information, as independent third parties under their own privacy policies, to measure the performance of our advertising and to show our ads to relevant audiences on their platforms:

From these tools, EventNation receives only aggregated reporting — for example, how many people viewed or clicked an ad. We cannot identify an individual ad viewer from this reporting unless that person later chooses to create an account with us.
You can control cookies through your browser settings, and you can opt out of interest-based advertising through your LinkedIn and Google account settings and through industry tools such as the Network Advertising Initiative (https://optout.networkadvertising.org) and the Digital Advertising Alliance (https://optout.aboutads.info).
Planner Network
The EventNation Planner Network is an optional feature that aggregates contract patterns across properties so verified event professionals can see patterns in how venues tend to negotiate in which markets. The Network has two separate parts: contributing your review data, and accessing what others have contributed.
Contributing your data. When you create your account, you will submit your LinkedIn profile for verification that you are an active events professional who is not affiliated with a hotel chain or a CVB. If you would like access to view the data in the Planner Network, you must also choose to contribute data derived from your contract reviews to the Network. If you contribute, the information shared is limited to:
- The name and address of the hotel referenced in the contract;
- A factual summary of the contract clauses identified during review (for example, the presence of attrition, cancellation, or food-and-beverage minimum clauses), together with EventNation's standardized severity rating for each.
This contribution is de-identified with respect to you: it does not include your name, your organization, your event details, or any other information identifying you as the planner who submitted the contract. It does identify the hotel by name and address.
Excluding an individual contract. Participation in the Network is on a contribute-to-access basis: members contribute their review data so that everyone can benefit from the shared pool. You can exclude any individual contract from contribution before it is shared — for example, where a specific agreement contains a confidentiality provision that restricts you from disclosing its terms.
Because the Network depends on member contributions, excluding more than three contracts within any rolling twelve-month period will result in review to possibly suspend your access to view Network data. If your access to the Network is suspended, you may appeal by emailing [email protected].
Accessing the Network. To view the Network, you must be verified. You submit your LinkedIn profile URL, and we confirm you are a working event professional. Your activity inside the Network is anonymous. Access is limited to verified members.
You can stop contributing, or leave the Network entirely, at any time in your account settings.
Data Security
We implement appropriate technical and organizational measures to protect your personal information. However, no method of transmission over the Internet is 100% secure.
Your Rights
Depending on your location, you may have certain rights regarding your personal information:
- Right to access your personal data
- Right to correct inaccurate data
- Right to delete your data
- Right to opt out of marketing communications
- Right to join or leave the Planner Network at any time
- Right to exclude an individual contract from the Planner Network
- Right to data portability
Children's Privacy
Our website is not intended for children under 13 years of age. We do not knowingly collect personal information from children under 13.
Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Last updated" date.
